Community Room Use Policy

 

It is the policy of the Galway Lions Club, Inc., hereinafter known as “Lions Club”, to make its community room available to individuals and organizations other than the Galway Lions Club.

Use is limited to meetings, social activities, and educational activities. The Lions Club reserves the right to refuse any event which does not comply with these rules and which it deems inappropriate.

 

Policy:

The Lions Club considers facility use requests without regard to race, color, religion, creed, gender, national origin, age, disability, marital or veteran status, sexual orientation, or any other legally protected status.

 

  1. 1.     RESERVATIONS ARE REQUIRED FOR USE OF THE LIONS CLUB COMMUNITY ROOM. To reserve the facility, contact the facility scheduler, Rita Ware (518)882-6818 or Holly McConchie (518)882-6518. If the facility is available, the applicant will complete, sign and return the Community Room Request form, along with any other required documents, such as, but not limited to, certificate of insurance and Hold Harmless Agreement.
  2. 2.     Applicants will be required to furnish a certificate of insurance for not less than one million dollars, or sign a hold harmless agreement. Multiple dates or days of use will be entered on each document. When extra cleaning, security, or other special preparations of the facility is required, the cost of those items will be the responsibility of the applicant.
  3. 3.     The Lions Club reserves the right to refuse any event which does not comply with the rules, and which it deems inappropriate.
  4. 4.     The Galway Lions Club is incorporated in the State of New York as a 501(c) 3 not-for-profit organization. We are dedicated to improving the lives of the less fortunate in the Galway community and beyond; therefore, we do not have a fee schedule for use of the facility. Accordingly, a suggested donation schedule is shown below.

NOTE:

 

Donations will be used to pay for insurance, utilities, and maintenance of the facility and will not be used for other purposes. Provisions of this policy document are subject to change without notice

 

The following organizations are not subject to fees/donations for use of the facility:

  1. 1.     Galway Lions Club
  2. 2.     Galway Lioness Club
  3. 3.     Galway Leo Club
  4. 4.     Other Lions affiliated groups or organizations
  5. 5.     Greater Galway Community Services Association (aka Galway Food Pantry)

 

Rules and Regulations

 

  1. 1.     Hours of use are restricted to 8:00 a.m. – 11 p.m. Changes to these hours can be adjusted by the scheduler
  2. 2.     Smoking in any part of the building is prohibited
  3. 3.     Alcoholic beverages are NOT permitted without a certificate of insurance naming Lions Club as additional insured. Additionally, a hold harmless agreement must be signed by the applicant
  4. 4.     Alterations to the facility property or equipment are not allowed
  5. 5.     Facility must be left in the same condition as it is found, including cleaning and setting the room back up. This includes insuring all windows and doors are closed and locked, and all appliances are turned off or shut down
  6. 6.     Access to the facility must be arranged with the facility scheduler
  7. 7.     The Lions Club has a carry-in carry-out policy on trash
  8. 8.     The permit holder is responsible for set up, take down, and cleaning the room after use. Any cleaning performed by the Lions Club will be billed to the permit holder
  9. 9.     A Facility Use Form must be completed, signed, and be received at least one week prior to the scheduled date of use
